AP Manager- Property Management Experience Required

Key Responsibilities

Leadership & Team Development

  • Lead, coach, and mentor the Accounts Payable team to ensure accuracy, efficiency, and adherence to company policies.
  • Set clear performance expectations, provide ongoing feedback, and support career development.
  • Foster a collaborative, solutions-focused environment that drives operational excellence.

Accounts Payable Operations

  • Oversee all daily AP activities, including timely invoice processing, proper GL coding, and compliance with approval workflows.
  • Review, approve, and code supply orders while ensuring complete supporting documentation.
  • Ensure property staff follow established procedures for purchase orders, invoice entry, vendor setup, and related workflows.
  • Audit petty cash reimbursements, holiday fund advances, eviction advances, and other transactions to ensure accuracy and policy alignment.
  • Commit checks for SODAs and support all SODA-related payment processes.
  • Manage bill backs for shared expenses such as payroll, postage, time clocks, insurance, and other management company charges.

Vendor Management & Compliance

  • Oversee new vendor setup, ensuring all required documentation, approvals, and compliance checks are completed.
  • Maintain vendor contracts and verify that liability and workers' compensation insurance certificates remain current.
  • Apply careful vendor review by validating contract terms, monitoring compliance, and ensuring vendors meet company standards.
  • Resolve vendor issues, including payment discrepancies, penalties, late fees, and address updates.
  • Manage annual 1099 processing and follow up on IRS correspondence.
  • Complete credit applications and support vendor qualification and onboarding processes.
